Description
The SABES English Language Arts Professional Development Center (ELA PD Center), a World Education project, provides high-quality instructional resources and professional development to strengthen adult education programs and increase the effectiveness of adult educators to improve outcomes and maximize opportunities for adult learners. The ELA PD Center is one of five centers that make up the SABES MA Public Adult Education Professional Development System and is generously funded by the Adult and Community Learning Services (ACLS) unit of the Massachusetts Department of Elementary and Secondary Education (DESE).
Position Summary: The full-time Project Coordinator works closely with the ELA PD Center team on key aspects of the center’s work, including promoting and facilitating self-paced, online, and in-person professional development courses and events, tracking, managing, and analyzing project data, contributing to resource and report production, and ensuring high-quality, streamlined systems to guide and track the project’s work.
Location: This is a Boston-based position with the opportunity for a hybrid work schedule (part in office/part remote). Candidates must be able to make day trips around Massachusetts for meetings and PD events (approximately 1 day per month).
Supervision: The Project Coordinator reports directly to the SABES ELA PD Center Director.
RESPONSIBILITIES
Project and PD Event Coordination
- Coordinate and host online and in-person PD events: provide support to presenters and participants before, during, and after events, facilitate and provide tech support for online rehearsals and webinars, prepare and organize materials, create and distribute event evaluations
- Oversee SABES ELA self-paced (e-learning) courses: user-test courses, create new user accounts, enroll participants, and provide tech support for course participants
- Assist with writing, proofreading, and adding PD calendar descriptions to the online calendar, collaborate with the project team and SABES Communication Center to provide targeted outreach for events, monitor registrations
- Coordinate projects in collaboration with the project team: create project timelines, track deliverables, coordinate meetings, and contribute to resource development
- Coordinate and contribute to monthly and quarterly reports for funders
Data Management & Analysis
- Organize and maintain records for all PD participation: track PD attendance in internal tracking sheets, enter and reconcile all participation data in the funder database (LACES)
- Maintain a calendar and tracking sheets of ELA PD Center PD events, create monthly and quarterly data reports on PD participation for project funders
- Compile PD event evaluations and prepare summary reports
- Work with the project director and team to create and maintain systems for keeping accurate records and analyzing data to inform project planning, evaluation, continuous improvement, reporting, and proposal writing
- Assist project director with contracting, invoicing, purchasing, and tracking fiscal data
Website & Communications Management
- Contribute to the design and production of ELA PD Center publications, including reports, tools, and promotional materials as needed
- Work with the project team and SABES Communication Center to maintain an engaging, informative, and up-to-date SABES website, work with the SABES Communication Center to make changes and edits to the SABES website
- Contribute to the center-wide website and communications planning, including project presence on social media and targeted mailings
- Develop and distribute targeted communications to increase PD participation and use of center resources
Other Responsibilities
- Participate in ELA PD Center team meetings, SABES system meetings (including ADEI internal meetings), and relevant World Education US Division/JSI meetings
- Contribute ideas that benefit the project’s continuous improvement, including a commitment to integrating concepts of diversity, equity, and inclusion
- Assist with recruiting, interviewing, and orienting new staff as needed
- Contribute to portfolio-wide activities, projects, and events planning
QUALIFICATIONS
- Bachelor’s degree and a minimum of 3 years of relevant experience supporting a project team in a professional setting, along with strong interest in working in the field of adult education
- Demonstrated ability to organize and simultaneously manage a variety of tasks and multiple deadlines; experience creating and managing internal tracking systems strongly preferred
- Experience entering and reviewing data for accuracy; ability to analyze data for trends
- Proficiency in Microsoft Office Suite / Google (MS Word, Excel, PowerPoint, Publisher, Adobe)
- Ability to work with and adapt to a range of technologies and platforms (e.g., Google, Slack, Zoom, Canvas, etc.)
- Exceptional written and oral communication skills
- Demonstrated ability to effectively interact with project colleagues, partners, and funders
- Attentive to detail, reliable, and able to work independently and as part of a team; strong sense of collaborative teamwork; able to respond flexibly to fluid work demands
- Willingness to take initiative and contribute ideas that benefit the project’s continuous improvement, including an intentional commitment to integrating concepts of anti-racism, diversity, equity, and inclusion throughout the work
Preferred Qualifications:
- Experience working in an education and/or training environment
- A working understanding of the adult education field in Massachusetts, particularly experience attending or working in publicly-funded adult education programs is highly desirable
- Experience with online learning systems (e.g., Moodle, Canvas, Blackboard) and/or course development experience
- Experience facilitating meetings and/or training events
- Experience using social media, including LinkedIn
