Program Overview
The Political Affairs department leads EDF’s efforts to achieve our policy goals through the legislative, regulatory and political systems at the federal, state and local level. Our lobbyists, communicators, organizers, and experts work to achieve progress on environmental issues through the democratic process.
Overall Function
Environmental Defense Fund is seeking a Program Coordinator who will provide administrative and program support for the Political Affairs team, including Federal and State Affairs and EDF Action. The Program Coordinator will be an experienced administrative professional who can provide complex administrative support for the team by performing difficult and specialized administrative and technical responsibilities. The Program Coordinator reports to the Operations Manager, Political Affairs.
This is a two-year fixed term position with opportunity for extension. This position will require a hyrbid work arrangement from EDF’s DC office location.
KEY RESPONSIBILITIES
- Responsible for all administrative tasks including travel planning, preparing expense reimbursements, scheduling, and all additional administrative tasks necessary to support EDF Action President.
- Prepare written materials, respond to information requests, and help coordinate and track activities of the Political Affairs teams.
- Attend internal meetings and be able to document, identify and track key takeaways, next steps, and resource needs.
- Administer contracts for consultants, including assistance in writing, processing contracts, and working with program staff and consultants to ensure the obligations of contracts are fulfilled and invoices are submitted in a timely fashion.
- Maintain schedules and provide travel arrangements for program leadership.
- Oversee the administrative processes of the team, including expense reporting and invoice processing. Follow through with Finance staff to ensure these payments are made.
- Manage other administrative tasks associated with staff, consultants and interns, including logistics, office needs, and telecommunications.
- Assist Program staff and other colleagues to better communicate and coordinate on joint projects.
- Participate in advancing EDF DEI goals in which people from all backgrounds and experiences feel connected, included, and empowered to address organizational challenges in alignment with EDF values.
- Additional relevant responsibilities as assigned.
QUALIFICATIONS
- Associate degree or equivalent in a relevant field with at least 3 years of relevant experience; a Bachelor’s degree or equivalent may substitute for up to 2 years of relevant experience.
- Creativity, energy, and the ability to multi-task and get work done under pressure.
- Experience with budgeting, accounting and/or bookkeeping a plus, particularly proficiency with NetSuite (or similar finance software) to create a Purchase Order (PO), billing the PO, etc.
- Excellent time management and administration skills.
- Strong verbal and written communication skills.
- Ability and willingness to work as a strong team player, while at the same time able to work independently and as a self-starter.
- Ability to work independently, and successfully handle and prioritize diverse, simultaneous tasks.
- Proficiency in the use of PCs and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.).
- Demonstrates self-awareness, cultural competency and inclusivity, and ability to work with colleagues and stakeholders across diverse cultures and backgrounds.
