Description
The International Division (ID) Operations Manager is responsible for the day to day coordination and management of the finance and operations (F&O) Team working closely with the ID Director of Finance & Operations. S/he will support the effective and successful implementation of F&O division-wide tasks, manage the F&O team level of effort assignments, and ensure division systems and processes are accessible and maintained with consistent standards and quality across the division. The Operations Manager works closely with the ID/F&O team and will serve a role in implementing the F&O division workplan including training and resource development, communications and knowledge management, and staffing support.
The Operations Manager is a hybrid position based in the U.S. Boston or Washington D.C. office and is supervised by the ID Director of Finance & Operations.
RESPONSIBILITIES
- Support the ID DFO and VP of Program Finance to track and manage cross-cutting ID F&O priorities and activities.
- Manage F&O staffing level of effort tracking and portfolio assignments.
- Coordinate onboarding schedules and conduct (as applicable) orientation to F&O Team Staff and/or staff requiring F&O orientation.
- Support the development and management of the centralized ID F&O workplan and implementation of tasks in coordination with assigned leads. Serve as the administrator for ID F&O Team centralized filing structure (ensuring appropriate access, availability and updates to content) and ensure integrity of project filing structure with project teams.
- Manage internal F&O communication channels, including slack and email distribution lists, to promote effective communication across the team, maintain ID intranet pages including coordination with Web Services to update links to source documents
- Oversee the administration of the electronic and hard copy Field Account Voucher filing in coordination with the Sr. Manager, Country Program Accounting.
- Identify improvements to division-wide systems, tools, processes/procedures
- Serve as lead point of contact with JSI travel agency to manage exception requests and clarifications on policy, and coordination with Accounting on Concur/Travel issues
- Manage and coordinate with IT on F&O Team software licenses and projects for the allocation of division wide subscriptions/services costs.
- Support procurement of division-wide preferred vendors, as assigned
- Support business development efforts as assigned
- Ad-hoc requests including audit support, special projects, as assigned
- Supervise the ID F&O Team F&O Officer
QUALIFICATIONS
- Bachelor’s degree or equivalent experience in a related field required
Required Experience/Skills
- Minimum of five (5) years’ experience providing operations management support
- Minimum of three (3) years’ experience supporting complex project or division/center operations in an international context
- Advanced proficiency with Microsoft Office and Google Docs
- Working knowledge of AODocs platform
