SUMMARY
Working alongside the project manager, project coordinators are responsible for overseeing specific stages of a larger project. The project coordinator will coordinate the schedule, budget, issues, and risks of the project. It’s their job to make sure the project management framework is well-organized and that it runs smoothly. This can include communicating with various departments in the organization to make sure everyone is on the same page.
DUTIES/RESPONSIBILITIES
- Monitoring project progress and creating project status reports for project managers and stakeholders.
- Assisting with resource scheduling so that team members have the resources they need to complete their tasks.
- Scheduling stakeholder meetings and facilitating communication between the project manager and stakeholders throughout the project life cycle.
- Managing project management documents such as the project plan, budget, schedule, or scope statement, as directed by the project manager.
- Executing a variety of project management administrative tasks such as billing and bookkeeping.
- Support team members when implementing risk management strategies.
- Must be adept at multitasking and perform a wide variety of tasks daily. Coordination of the critical tasks within a project is vital to the project coordinator role.
- Updating project team and stakeholders as required by the project manager.
- Take assigned duties and implement with minimal direction.
- Reporting and Metrics – Provide transparency to the teams and stakeholders. Highlight key metrics as defined as important by stakeholders. Ensure the right data is presented in an intuitive and action provoking way.
QUALIFICATIONS/EXPERIENCE/REQUIREMENTS
- Experience:
- Maintaining and monitoring project plans, project schedules, work hours, budgets, and expenditures.
- Organizing, attending, and participating in stakeholder meetings.
- Documenting and following up on important actions and decisions from meetings.
- Preparing necessary presentation materials for meetings.
- Providing administrative support as needed.
- Undertaking project tasks as required.
- Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
- Attend and lead project meetings as needed in the Project Manager’s absence.
- Qualifications and Requirements:
- 2 – 3 years’ experience in related field.
- Strong English verbal, written and presentation skills.
- Ability to work effectively both independently and as part of a team.
- Competency in Microsoft applications including Word, Excel, PowerPoint, and Outlook.
- Competency in project management applications (JIRA, MSP, Clarizen, Clarity, Teams, Planner, Dev Ops, etc.) preferred, not mandatory.
- Knowledge in file management, transcription, and other administrative procedures.
- Ability to work on tight deadlines.
EDUCATION
- Bachelor’s or Lengthy experience in a related field (IT, Project Management, Business Analytics, Statistics) is preferred.
