At the direction of the Asia-Pacific Program Manager, the Special Events Management Consultant will provide the following services:
- Drive planning and logistics for up to 250 people for a virtual Regional Disability Rights Dialogue
- Maintain up to date event schedules, workplans and budgets
- Support event related procurement processes, vendor management and sponsorships
- Take primary responsibility for the event run-of-show, including making/socializing adjustments;
- Provide day-of event support including coordinating with speakers and participants;
- Coordinate and support participant registration processes and maintain database of participant contact information;
- Liaise internally with staff and externally with vendors, partners and speakers;
- Provide event-related administrative support including maintaining records and supporting the processing of contracts, invoices and “thank you” letters/donor acknowledgments;
- Provide advice and support on virtual event accessibility such as coordinating with sign language interpretations, close captioning vendors etc.
- Assist with the preparation of event related communication products
- Set up and manage processes for timely communication between various internal teams working on events
Among the deliverables under this consultancy:
- Regular meetings with IFES staff;
- Short, written biweekly updates;
- Event management tools and documentation, including but not limited to, checklists, workplan, schedules, team contact lists and budgets;
- Successful delivery of event;
- Post-event correspondence and documentation (for example, a feature article);
- Post-event reports to include lessons learned and recommendations.

- University degree in the fields of hospitality, communications, public outreach or another relevant field; Full availability on – including the evening of the Regional Disability Rights Dialogue
- At least 10 years’ experience in event management, including in a leadership role and for large virtual events;
- Experience with official protocol, elected officials and politicians preferred;
- Experience with international audiences a plus;
- Proven success constructively interacting with sponsors, vendors, board members and staff at various levels throughout an organization;
- Ability to exercise sound judgement, be decisive, think on one’s feet and solve problems;
- Emotional intelligence and multicultural sensitivity; and
- Demonstrable organizational skills and facility in written and oral communications.
