Position Summary:
The Senior Program Associate (SPA) is a member of the West Africa & Haiti team who are responsible for a program portfolio of health and livelihoods programming in Burkina Faso, Mali, Niger and Haiti. The SPA reports directly to the Senior Regional Director and in their absence, the Deputy Director. The SPA provides substantive programmatic, operational, and administrative support to ensure the success of the West Africa & Haiti team.
The Senior Program Associate will split their time between two programs: TRACE in Nigeria and Sesame in Burkina Faso.
Key Result Areas:
The success of this role is measured by the following KRAs:
- Reconcile discrepancies in monthly programmatic reports and ensure submissions of finished reports to appropriate donors and internal contacts.
- Provide effective support for program coordination, donor compliance requirements, and project design and implementation in the region.
- Effectively support the management of a portfolio of projects valued up to $25 million funded by USDA.
Roles and Responsibilities:
Project Management & Design Support
- Support budgeting processes with creation and maintenance of budget formats/pivot tables and performing analyses of budgets and spending.
- Liaise with International Finance Team on issues related to program management.
- Contribute to the preparation of technical and financial reporting, including bi-weekly, monthly, quarterly, and semiannual reports.
- Process partner cash transfer requests.
- Contribute to the technical design of relevant country-specific interventions and projects, including research tasks.
- Provide support to business development as requested, including conducting research and serving as reviewer for draft proposals.
Coordination
- Develop and maintain systems and processes to ensure appropriate information flow within the portfolio.
- Lead event planning for the team, including organizing meetings and retreats.
- Draft and circulate meeting minutes and other documents related to good management practice and transparent communication.
- Serve as primary liaison between the region’s Program and Operations Department and the Senior Regional Director.
- Serve as primary liaison with Global Relationships and Resources Team on activities related to communications and engagement. Draft content for success stories, website posts, and other communication products.
Compliance
- Support Programs Team to meet donor’s compliance requirements, including the review of policies and development of products and reports required under donor-funded awards.
Education & Experience:
- Bachelor’s degree in Public Health, Agriculture, International Development, or related field.
- Must have a minimum of three years relevant work experience.
- Experience must include supporting program implementation and management for an international development organization.
- Sound knowledge of international health best practices or the livelihoods and agriculture sector.
- Experience in multi-sectoral programming, including health, livelihoods, education, agriculture, food security, and/or WASH.
- Excellent oral and written communication skills in English needed.
- Some professional level of proficiency in oral and written French needed.
- Understanding of research methodologies and approach.
- Excellent interpersonal communication skills to interact with all levels of staff and external stakeholders.
- Strong interpersonal skills with the ability to be both a team leader and a team player.
- Demonstrated ability to identify, troubleshoot and resolve issues when needed.
- Ability to work independently with strong skills in organization, time management, and problem solving.
- Must take initiative and deliver high quality products in a timely manner.
- Cross-cultural sensitivity, including experience working with professional and support staff in a multicultural, multi-linguistic environment.
- Experience developing and maintaining productive working relationships with host country counterparts and NGO/FBO/CBO actors.
- Ability to travel up to 20% of time annually, including to hardship locations. Flexibility and ability to travel on short notice.
- Proficiency in Microsoft Office applications including MS Word, Excel, and PowerPoint.
- Demonstrated experience working with international donors, including USDA, USAID, MCC, CDC, DFID, and/or BMGF.
- Strong working knowledge of USG and other international donor funding mechanisms (including grants, contracts, and cooperative agreements).
- Experience working and/or living in developing countries or the West Africa and Haiti region strongly preferred.
- Experience with grant making and/or proposal writing preferred.
- Proficiency in Salesforce software preferred.
- Must have U.S. Work Authorization.
