Position Title: Grants Management and Compliance Coordinator
Reports to: Senior Director of Grants Management and Compliance

Position Overview:
The Grants Management and Compliance (GMC) Coordinator provides administrative, systems, and project support in the areas of contracting, compliance, and award management. This position is responsible for a variety of administrative tasks and processes such as conducting routine filings related to receipt of federal funds; organizing critical grant documents and the department intranet site; and supporting use of software systems. The GMC Coordinator supports the launch and implementation of an exciting new cross-site initiative focused on assessing and strengthening award management and compliance across PIH sites. The GMC Coordinator supports coordination and communication for the department by scheduling and supporting meetings and workshops, preparing materials, taking notes, and supporting the use of virtual platforms. The GMC Coordinator also proactively identifies improvements to systems and processes that support effectiveness and efficiency of the department.
Primary Responsibilities
- Organize, update, maintain files, databases and intranet site; support use of software systems
- Coordinate logistics for virtual and in-person meetings and conferences
- Coordinate internal and cross-site virtual meetings by planning, scheduling, preparing materials, taking notes, arranging interpretation, and supporting use of virtual conferencing platforms
- Support Sanctions Screening processes to detect, prevent and manage risk
- Complete and submit annual renewal process for PIH’s System for Award Management (SAM) registration, required to receive federal funds
- Submit filings of subrecipient information to the Federal Funding Accountability and Transparency Act Subaward Reporting System (FSRS)
- Submit annual filing of PIH’s Research Misconduct policy to the Office of Research Integrity
- Triage requests coming in to the team through team email account and web-based ticketing system
- Help collect and synthesize information on project and award management across PIH sites and provide strategic support to inform strengthening of systems, policies, processes and tools
- Provide project assistance, includes creating and monitoring project schedules, developing materials, coordinating translations, developing budgets, tracking expenses, and processing invoices
- Assist with filing and sharing of documents and adherence to organizational deadlines, policies and procedures
- Identify improvements to systems and processes that support department efficiency and effectiveness
Minimum Requirements
- Bachelor’s degree
- 2-3 years of administrative experience; 1 year of project management experience
- Excellent written and spoken English skills
- Attention to detail and ability to prioritize multiple tasks/projects
- Excellent analytical skills
- Strong interpersonal and communication skills, verbal and written
- Experience and comfort organizing and supporting meetings using virtual platforms
- Proficiency in Microsoft (MS) Office (Excel, Word, PowerPoint) and working knowledge of MS SharePoint
- Readily learns new software systems and technology
