Title: GISF: Project Assistant (US) Div/Dept: Global Interagency Security Forum (GISF) / Global Safety & Security Location: Washington, DC Reporting Relationship: GISF: Deputy Director (US)
summary To provide effective and efficient administrative support to enable the smooth functioning of the North American GISF Secretariat, in accordance with GISF and Host organization (Childfund) systems.
DUTIES/RESPONSIBILITIES GISF Project Support:
- Ensure GISF North American administrative systems are in accordance with host organization systems, e.g. expenses, holidays, consultant contracting, etc. and are compatible with GISF systems and processes.
- Support GISF (US) staff with administrative functions, including stationary and consumables, asset register and document filing, as well as develop and maintain User Manual for the GISF (US) Secretariat (as part of the broader GISF User manual).
- Manage stock of GISF papers for North America and conduct mail-outs of GISF products for North American Network
- Monitor North American focused social media on Security risk management for the aid sector and contribute to GISF communication / social media strategy to incorporate the North American perspective,
- Update trainings, events, vacancies, etc on website
Event Logistics:
- Support Project and Membership Officer with GISF event preparation and logistics, including venue, travel and accommodation identification, booking and oversight.
- Maintain participant registrations and compile feedback within GISF’s database.
QUALIFICATIONS/EXPERIENCE Required
- Experience in a similar administrative role
- IT-literate, with knowledge of Microsoft Word and Excel. Knowledge of social media
- Good communication skills and good written and spoken English
- An eye for detail and a systematic approach to work
- Ability to handle confidential information.
- Able to work on own initiative
- Willingness to travel for a minimum of two weeks per year.
Preferred
- Previous experience of non-profit sector
- Experience with backend website programs and Salesforce
- Proficiency in a second language (Spanish, or Arabic preferred).
EDUCATION High School Diploma required, Bachelors degree or closely related discipline or equivalent relevant work experience.
