PATH has projects in over 70 countries, offices in over 20 countries, and approximately 1,400 full-time employees worldwide. The field operations are managed by two regional offices – Africa and Asia, Middle East, and Europe (AMEE).
The AMEE region is seeking to recruit a AMEE Coordinator of Corporate Services (CCS). The postholder will report to the Chief of AMEE and will be part of the AMEE Regional Management team. S/he will be responsible for coordinating a range of corporate services that support regional operations. The post holder will be the regional point person for all corporate services. S/He will liaise with relevant PATH divisions and country offices to facilitate efficient and effective delivery of support and services in the areas of business operations, human resources, legal, and external affairs.
The AMEE Coordinator of Corporate Services should be able to handle highly sensitive and confidential information. The candidate must be able to deal with conflicting priorities and deadlines and process large amounts of information, often of a very specialist nature. The incumbent should be lifelong learner who is prepared to continue to build and hone his/her skills as the external environment changes rapidly. Curiosity to extend beyond his/her own comfort zone is essential for this position.
Responsibilities:
- Financial, Procurement and Contract Management
- Coordinate budgeting, forecasting, and reporting with Finance Planning and Analysis (FP&A)
- Communicate findings and make recommendations to Chief of AMEE
- Develop and maintain key models and reports for reporting performance against annual budget, periodic forecasts, and other Key Performance Indicators, driving hub leaders’ accountability
- Create and prepare dashboards and presentations to communicate financial results
- Have oversight of AMEE’s opportunities pipeline, awards, bid and proposal budgets and co-funding requests and provide regular update to AMEE chief
- Ensure procurement is efficient and in compliance with PATH policies and procedures. Review and approve procurement requests
- Liaison with Human Resources, Legal and External Affairs
- Coordinate with Human Resources division and country leaders to develop short- and medium-term human resources management and talent development plans, opening and maintaining offices, recruitment strategies, salary negotiation, and relocation
- Liaise with the legal division and country leaders to sort out local legal issues, help seek legal assistance at relevant levels, and provide support in developing local capacities to deal with legal matters in line with the national laws and PATH policies
- In close collaboration with Legal Affairs and the Office of Grants and Contracts, support the program teams’ management of contractual arrangements and ensure compliance with PATH policies and procedures, including selection of vendors and agreement processes
- Collaborate with the External Affairs Division and country offices to ensure regional and country level alignment on communication, advocacy and visibility matters
- General Administration
- Oversees the work of the executive assistant(s) and other administrative staff as relevant. Provide coaching, professional development, counseling, and performance feedback
- Ensure that staff and all other stakeholders are well informed and up to date on developments affecting corporate services including AMEE and PATH initiatives, policies, priorities, and results
- Promote PATH values and ethics. Maintain a positive, appropriate, and professional relationship with AMEE staff and other PATH divisions
- Drive positive change and continuous improvement of corporate services and processes
